Privacy Policy

Account data. When you sign up we collect your name, email address, and a password (or, if you sign in with Google, your Google account’s name, email, and profile picture via OAuth). We request only the minimum Google profile scopes needed to create and identify your account.

Practice data. To run and score your sessions we process the configuration you choose, any requirement or document text you provide, your session audio, and the resulting transcripts, scores, and coaching feedback.

Billing data. Payments are handled by our payment processor. We receive transaction and plan status, not your full card details.

Usage data. Standard technical data (device, browser, IP, timestamps, error logs) needed to operate and secure the Service.

To provide, personalise, and improve the Service; to run your practice sessions and generate feedback; to process payments and manage your account; to communicate with you (verification, security, support, and transactional email); to keep the Service safe and enforce our terms; and to meet legal obligations.

We do not sell your personal information, and we do not use your Google account data for advertising.

Your session content (configuration, requirement/document text, transcripts) is sent to third-party AI and voice providers strictly to generate the roleplay, transcription, and coaching you asked for. We do not use your content to train third-party models where a provider offers an opt-out, and we transmit only what a session requires.

We share data only with service providers that operate the platform (hosting, database, AI/voice, speech-to-text, email, and payment providers), each under contractual confidentiality; when required by law; or in connection with a business transfer. We do not share your data for others’ marketing.

We use third-party analytics to understand how the Service is used and to improve it. This includes Google Analytics (via Google Tag Manager) for aggregate usage metrics, and Microsoft Clarity for session replay and heatmaps, which records interactions such as clicks, scrolls, and navigation. Text content is masked in these recordings, and we use them to diagnose usability issues — not to identify you personally. These providers set cookies and process technical data (device, browser, IP) as described in their own privacy policies. You can limit this tracking through your browser settings or a “Do Not Track” signal where supported.

We keep your account and session data for as long as your account is active, and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion (see “Your rights”).

We use industry-standard measures (encryption in transit, hashed passwords, access controls) to protect your data. No method of transmission or storage is perfectly secure, but we work to protect your information and address issues promptly.

Depending on your location, you may have the right to access, correct, export, or delete your personal data, and to withdraw consent or object to certain processing. To exercise these rights, contact us at support@pitchdawn.com. You can also disconnect Google access at any time from your Google Account’s security settings.

The Service is not directed to children under 16, and we do not knowingly collect their data. If you believe a child has provided us data, contact us and we will delete it.

We may update this Policy from time to time. Material changes will be posted here with a new effective date, and where appropriate we will notify you.
